All Age Group Convenors, Coaches, Assistant Coaches and Team Managers are required to add ‘Eltham Wildcats Basketball Club’ to their Working With Children Check as a place where they volunteer.

Club Selected Teams

• Players who make no friendship requests or nominate no more than THREE players with whom they wish to play will be placed in a team by the club. Friendship requests must be reciprocated, and team placements will take into consideration factors such as playing ability, training availability and other relevant criteria. 

• Friendship request should be listed in order of preference for the convenor’s consideration in case not all requests are able to be met.  

• The club seeks to be helpful in meeting your requests but please be aware that all requests also provide limitations, restrictions in terms of available training times and may mean missing out on a desirable team that has a coach with a different availability. Friendship choices may mean a less strong team then where a player would be otherwise placed. 

Friendship Teams

• A friendship team is a group of players who all request to play together. We recommend that each friendship team has eight registered players, own coach and team manager. The club will not register a friendship team with fewer than seven registered players or no registered Coach/Team Manager.
• All players names in the team must be noted and reciprocated in the friend request section in the registration form.
• Friendship teams are predominantly considered for age groups U16 and above.
• We will endeavour to accommodate friendship team requests; however, this cannot be guaranteed. Factors that may affect team allocations include training availability, and other conflicting requests.
• All friendship teams must be approved by the Junior Domestic Coordinator.
• If all players in a friendship team have not registered by the player registration closing date, the club may fill the remaining positions. Once this occurs, further changes to the team are unlikely.
• If the friendship team is self-coached, it is required to have a responsible adult who is registered as Team Manager on PlayHQ to oversee the team and to attend each game and training sessions. This is a league requirement. For more information on self-coached teams please read the ‘Self-coached teams’ tabs.
• The club reserves the right to charge an additional fee for friendship teams with fewer than eight registered players.
• If you would like to request to play with a couple of friends please refer to our friend request section.

All training are 45-minute sessions.

Please make sure to review all details carefully. We will communicate with Team Managers/Coaches regarding keys/codes.

Training Venues 

Friend requests may be made for up to three players, they must be reciprocated, and they must be of similar player ability. We will do our best but not all requests can be necessarily be fulfilled.

If you’re interested in coaching a team, contact the age group convenor as soon as possible to express your interest. 

Once players have been enrolled at EWBC for at least one season we do not allow coaches to recruit from other teams and prohibitively discourage this practice. Teams will be co-ordinated by the relevant grade convenor from registrations according to mutual friendship requests, training availability and level of play.

Although coaches can communicate directly with convenors about team selection it must be understood unequivocally that requests may not be able to be met due to the many considerations of team selection and should not put undue pressure on convenors in any circumstances. 

To ensure a smooth registration process, please complete your registration promptly through PlayHQ.

All coaches are required to provide a Working with Children (WWC) check and a Member Protection Declaration Form to comply with the association’s safety and legal requirements.

Every team needs a Team Manager.

You can provide your team with a positive role model while supporting coaches and families.

Duties include organising a scoring roster and informing the team of game times.

Team Manager must be registered in PlayHQ

We permit self-coached teams for U16’s – U21’s however they must have a nominated responsible adult to be present at all games and trainings. This responsible person must be registered on PlayHQ as the team manager and/or coach and must be in attendance at all training sessions. Self-coached teams will not be allocated a training spot unless they specifically request one. If they do want a training session, they will need a responsible adult nominated and registered in PlayHQ.

U21 self-coached teams with Players 18+ the Club requires the presences of a parent, guardian, or equivalent authority at all training sessions and games.

Self-coached team Training & Training Change Requests
Please fill out the following form to request a training session for your self-coached team for the upcoming Domestic season.A Team Manager must be registered in PlayHQ before a training time is allocated to a self-coached team; this may be a Parent/Guardian of one of the players.

Note: Self-coached teams will be allocated a training session starting in the second week of trainings.

Late registrations must be approved by the club’s competition manager and may require league approval. We cannot guarantee the placement of a late registration into a team and in particular not into an optimal team.

Friendship and Pre-arranged teams.
Friendship and pre-arranged teams will not be entered for round one if they contain less than 7 players. Friendship teams that don’t have all players registered by the registration closing date may be filled with other players.

The shop will have a list of teams and their corresponding player numbers.

Uniform Shop Staff will check potential clashes from team list registrations in PlayHQ.

Once the player number has been allocated and singlet has been purchased, staff will enter the player number directly into PlayHQ

It is an EDJBA requirement that we maintain and update player numbers. Players cannot have the same number as a player in their team, the team above or below.

Numbering of teams
Teams are initial numbered within their age group based on our estimate of there ability. However, teams will finish in different grades based on their 6 weeks of grading performance.

Please don’t read to much into the team number.

Overall Registrations Requests
The club tries to meet as many registration requests as possible but please be aware that all requests create limitations which may impact player placement.

Type of Team Preference
Players can indicate their preferred team environment on the registration form. Where possible, we’ll use this to place players with teammates and coaches who share similar goals and expectations for the season. 

• Competitively-focused (serious) — for players wanting a serious, structured environment with a strong focus on improvement and competing at a high level. 

• Skill-focused (development) — for players who want to genuinely improve and train with purpose, but in a less intense, lower-pressure setting. 

• Participation-focused (social) — for players who want to enjoy the game, stay active and play with friends, with less emphasis on results.

Grading Feedback 

We’re collecting grading feedback to assist the EDJBA in placing teams accurately.

If players haven’t yet played, please explain why (e.g. injury, or other absence).

If you’ve already contacted us about requests, no further action is needed.

Game Requests

We’re also accepting game time requests for teams with legitimate scheduling conflicts.
Please include:

• Specific reasons for the request
• Number of players affected
• At least 7 game time slots that will work for you.

Game time requests will only be accepted in situations when there is a coach compatibility conflict, school sports or other legitimate reasons (this is EDJBA permitted).

Regardless of reasons game time request cannot be guaranteed and especially in cases where other teams/clubs have conflicting requests.

Game time requests that are due to other competitions or sports will not be considered.

Any requests will need a minimum of 5 available game slots.

Note: Changes for domestic teams will not be processed until after the first week.

Only teams requesting a change will be considered, and teams wanting to change venues without a valid reason will not be permitted.

If the player’s number is missing or incorrect on the team lists, please fill out the form below to have it updated.

Please complete this form only after you have your player number, either from an existing singlet or after purchasing a new one.

Update Singlet Number

If  two players on a team have the same number (highlighted in yellow on the team lists), our policy is that the player who has played for Eltham Wildcats Basketball Club the longer retains their number.

The player changing numbers can bring their singlet to the Admin Office at Montmorency Secondary College (Basketball Stadium – Upstairs, Level 1). They will be issued a swap singlet in the same size with a different number. At the end of the season, the ‘swap top’ can be returned and the player’s original singlet will be returned. Alternatively, players may choose to purchase a new singlet directly through the Uniform Shop.

Informed complaints regarding officiating may also be lodge through the link below. They will be forwarded automatically to our Director of Officiating.

Feedback / Compliant Form

Please use this form if your team has five or fewer players available and requires a fill-in for a regular round. We will aim to confirm player availability by Friday prior to the game.

• This form is only for grading and regular season games (Rounds 1 – 15).
• Submission does not guarantee a fill-in will be found.
• EDJBA By-Laws apply: All fill-in players must comply with the eligibility rules outlined in the EDJBA By-Laws (see Section 11 – Fill-In Players).
• The Club will handle all communication with EDJBA regarding player approvals if needed.
